Personal Assistant for VP Public & Legal Affairs
The Personal Assistant will report to the Public & Legal Affairs Vice President of Pernod Ricard Asia. He/she will also be closely working together with the public and legal affairs team of Pernod Ricard Asia. He/she will be based initially in Beijing but may be subsequently relocated in Shanghai. The position is a full time position.
Main responsibilities:
The Personal Assistant will have the following responsibilities:
Personnal Assistant to the VP
-Assist the VP in his daily work and organization of his schedule, e.g. maintain dairy of meetings, handle travel arrangement, processes T&E claims, coordinate weekly RMM (Regional Management Members) calendar and contact information etc.
-Support VP as required with regard to information management and analysis, presentation development and reporting.
Team Support
-Follow the content of the files on which the team is working (on issues such as taxation, labelling, standards, food safety, etc across Asia), help the team communicate with actors involved in the work (industry associations, Embassies, EU Commission, government Ministries) both in China, in Asia and in Europe.
-Assist with organising sponsorship activities initiated by Pernod Ricard Asia: liaise with relevant actors, logistic, advertisement and promotion of the brands and contribute to broaden the network of Pernod Ricard Asia.
-Handle travel arrangements and check travel and entertainement reports for management approval, coordinate team calendars.
-Perform other duties or facilitate ad-hoc projects as and when assigned.
-Coordinate executives and VIPs visits in China. This includes venue sourcing/event management and coordination of group itineraries, preparation of agenda and meeting materials, on-site support as needed.
-Occasionally, translation or interpretation
Team administration
-Department budgetary control and management.
-Maintains files and records.
-Office administration.
Qualifications:
-Native Chinese
-Holds a Chinese University degree and one university degree obtained outside China, preferably in law and/or business administration and/or international trade and/or agrifood.
-Minimum 2 years working experience.
-Fluent English and Chinese. French is an asset.
-Hard working, good sense of organization, capacity to finish work within the given time and adaptability to different contexts are required assets.
